Managing Your Email

1. Move read messages to other folders; do not keep them in the Inbox. Organize your messages into labeled folders, like in a file cabinet. Please remember large Inboxes make it slow to load your e-mail and may cause your email application to crash.

2. Do not use the Trash folder as storage. Regularly empty your Trash folder.

3. If your e-mail is set to save a copy to the Sent mail folder, keep only your current sent mail (1 year or less) in that folder. If it is necessary to keep older messages, archive each year to a new folder, for example "sent_mail_2009-2010".

4. In your e-mail program, sort the Inbox by date to more easily examine, delete, or move older messages to folders.

5. If your e-mail is set to save a copy to Sent mail, remember that since you have a copy of sent messages in that folder, there is no need to cc (carbon copy) or bcc (blind carbon copy) yourself.

6. IMAP means that the messages are kept on the server, not on your computer’s hard drive. There is no need to additionally back up these folders.

7. Consider deleting messages with attachments that you have saved to your hard drive or U:\ drive. Sorting messages by size allows you to identify large messages.
