Departing Faculty and Staff Procedures
Denison's policy is to disable all accounts on the next business day after the employee's last day of employment. Any request to keep the account active beyond this date must be in writing (email or memo) from the Chair/Director/Supervisor of the employee and must be received in the Office of the Director of Information Technology Services with a copy to the Help Desk 24 hours before the last day of employment.
The following procedures must be followed by any faculty or staff member who is leaving Denison's employment.
- Any files that will be needed by others in the department must be transferred to a common area. Please contact the Help Desk to ask that they be properly transferred to another user or users.
- All personal files and emails from the computer and the network U: and S: drives should be removed before departing. If given advance notice, Technical Services can burn a CD or DVD with your necessary files.
Departing Faculty and Staff
After a faculty or staff member leaves, a technician from Desktop Support does a complete backup of the disk drive on the computer and installs a current operating system with all standard applications, to ready it for the next user. The Chair/Director/Supervisor of the employee must call the Help Desk at x6395 within two business days after the employee's departure, to make an appointment for this work to be done. If an appointment is not made, a technician will schedule this activity and send an email with the time and date. If other staff share this computer, a technician will determine if the system needs to be re-imaged.
Tenured and Full-time Faculty A technician from Desktop Support will remove the computer and reissue it elsewhere on campus. New tenure-track faculty receive a new computer system of their choice (Dell or Mac) when they begin.
Administrative and Support Staff Retiring staff can obtain retiree email and Novell accounts by filling out the Application for Network Services [pdf] and emailing it to the Help Desk or obtaining a printed copy from the Help Desk in the lobby of Fellows Hall. With these accounts, retiring staff can access the Denison web site remotely or use the computer labs on the Denison campus. Retiree accounts will expire after 180 days of inactivity. If the staff member chooses not to apply for email and Novell accounts, they should remove all personal files and emails from the computer and the network U: and S: drives before departing. Their computer will be cleaned and updated as outlined above.
