Frequently Asked Questions about the Purchasing Card
Is there a late fee and who is responsible?
Denison's account will be automatically debited on the 15th of each month for the full amount due on your purchasing card. Late fees should never be an issue. However, you are responsible for reconciling your account statement on-line between the 5th and 15th of each month. If you are late you will receive an email reminder. If you are late repeatedly, your purchasing card account will be closed.
What happens if there is a missing receipt?
Our auditors and the IRS require us to keep receipts. If you cannot locate a receipt or have a duplicate generated, you must complete a missing receipt form and have it signed by your supervisor.
Will there be a limit? Sometimes our department spends $2-$3000.
Every card will have a credit limit. The limit can be adjusted according to the needs of the cardholder, with approval from the supervisor and the Controller.
Who authorizes the expenditure? Is the purchase covered if I'm given verbal authorization?
Every purchase will be reviewed by the supervisor and the Accounting Office after the transaction appears on the statement. Cardholders should know the rules concerning what they are allowed to purchase and ask their supervisor or the Purchasing Department if they are unsure. Verbal authorization is sufficient.
Do rewards/airline miles belong to the employee?
The purchasing card is a corporate card and does not come with airline miles or rewards for the cardholder. Denison receives a corporate incentive.
Will there be a list of stores/businesses to avoid? I've been known to frequent the dollar store and odd lots.
The purchasing card policy includes a list of transactions which are not allowed (such as cash advances or firearms) and a list of restricted transactions (such as office supplies because Denison’s Office Services Department has negotiated a volume discount). If specific merchants are deemed to be fraudulent, a list of banned merchants may be developed. Otherwise, as long as the purchase is for the benefit of Denison, you are free to choose where you shop.
Will the tax exempt I.D. number be on the card?
Yes, the tax exempt ID will appear on each card.
Will Denison pay if the item is taxed?
It is the cardholder’s responsibility to tell the merchant not to charge sales tax (in Ohio or Florida). If tax is charged, the cardholder should make an attempt to get a refund for the amount of the tax credited to his account. If neither of these is successful, the cardholder should make a note on the monthly cardholder receipt envelope, and Denison’s Purchasing Department will pursue the matter.
How will this affect my personal credit?
There should be no affect on your personal credit. JPMorgan Chase will not check your personal credit rating and this card will not be added to your future credit reports. This is a Denison corporate card.
Do I have to wait until the end of the month to reconcile?
You can reconcile your account and assign your transactions to Banner index/accounts as soon as they appear on the SDOL website. Transactions usually appear within 1-3 days.
