General Catering Information
Working Out the Details
Ordering Timeline
In order for us to properly prepare your function, please contact us at least 2 weeks prior to the event date. Smaller events should be completely arranged 1 week prior to the day of the event.
Short Notice
We'll be happy to assist you; however, menu selections may be limited.
Room Reservations
Reserve the room or area for the event with the Facility Scheduler. Please keep in mind that many of these rooms are reserved months in advance. To reserve a dining hall room or The Roost in Slayter, call the Catering Office at ext. 6686.
Delivery Charges
Something to consider when you are choosing your location is Catering Delivery Charges. There will be no delivery charge for any events held in Curtis, Huffman, or Slayter Halls. For any location on campus outside of these halls, there will be a $20 delivery charge. The charge will be $25 for off-campus locations.

Contacting Us
Contact the Catering Office at (740) 587-6686 or send an e-mail to catering@denison.edu Many events may be set up by telephone or e-mail, while others may require an appointment with the Catering Manager. You'll receive a proposal stating the specifics of your special event order within three business days of placing your order. Please verify that all information is correct. If there is a change, please call us.
Guarantee Count
A guaranteed guest count is required by 12:00pm, 2 business days prior to the event date. The catering department will plan, purchase and prepare for all the guests you indicate will attend. For guest counts that are not confirmed 2 business days prior, the estimated number on the confirmation sheet will be used. Events will be billed at 95% of the guaranteed count or actual attendance, whichever is greater.
Meal Credits
Credits are available for those guests that are on a qualifying Meal Plan subject to the following conditions:
- The function is a meal event booked through the catering office.
- You notify us at the time of booking that you will have students attending the event that will be eligible for credit.
- The names of students on the meal plans are submitted to the catering office 2 business days prior to the event.
Cancellations
Any events or menu items that are cancelled less than 3 business days prior to the event date will be billed 50% of the total cost of the confirmation invoice. Events or menu items cancelled 24 hours prior to the event date may be billed 95% of the guaranteed count.
Special Notes:
Leftovers
We try to plan your event so that there will be little or no food left. Please remember, however, that because of health regulations, leftovers may not be taken from the catered event.
Off-Campus Vendors
In the event that off-campus vendors deliver products and equipment or staff onto campus, we will require a certificate of liability insurance for $1,000,000 naming Denison University as additionally insured. The certificate can be faxed to the Auxiliary Office at (740) 587-8321
Alcoholic Beverages
Should your program include alcoholic beverages, your catering coordinator will be glad to assist you with all arrangements and offer suggestions for the most appropriate service for your special event type. As there are many variables involved in this particular service, it is vital that you let your catering coordinator know immediately so arrangements may be made in a timely manner.
Equipment
All equipment is the sole property of Denison Catering and must be secured by the customer until picked up or returned back to the halls. Any equipment returned damaged or not returned within 24 hours will be charged at full replacement cost. Can't return it? Make arrangements with us to pick-up for a small fee.
Service Time
Buffet lines will remain open for one hour, unless arranged otherwise. Functions requiring additional serving time will necessitate a minimum charge of $50 per hour. If a program follows your catered meal, we recommend a 15 minute break to allow for clean up and to avoid additional charges for extended serving time.
