Meeting Minutes

NEW BUSINESS:
* Emergency Snow Days - Clarification on University closing - Barbara stated that when the University closes regular staff are not required to come to work while essential staff (physical plant, security, health center, etc.) are required.  When the University is closed, regular staff will be paid as usual.

* Position posting – difficulty with Internal Applicants link - Barbara notified the group that the previous gliche with the posting link for a support operating staff position is now fixed.

* Secretary Job Titles – The HR Office received a request to update the present title of Academic Secretary - This title change request is currently under review and we are researching common titles used at similar institutions.  The issue will be discussed further at HR Communications Meetings.

* HR Communication Meetings – Barbara notified the group that the meetings, which will commence in April, will be consolidated to have fewer meetings (5-6 meetings).  Barbara stated that a memo with dates and times of the HR Communications meetings will be sent out soon.

* Leave Donation Policy – A copy of the leave donation policy was provided to HRAG members for discussion and review.  Barbara asked the group to review the benefit of changing the policy.  The group had a few initial questions:

  1. Possibility of donating more than one day at a time? How would this work?
  2. Can you donate time to a specific person?  Could this be an option somewhere on the leave donation form?  Barbara did inform the group that this was not a possibility at this time.
  3. Can one spouse donate to another spouse without making a formal request?  Barbara noted that this was not an option and that a formal request should be made in order to better assist the person in need.
  4. How quickly is unused time returned if not used?  How are people aware of how much leave was been donated?  Barbara indicated that she wasn’t certain of the turn around time of unused donated leave. However, donors and individual requestors could check with Ginny Hobbs to determine if their time was used and how much was accumulated.

The group was asked to formulate additional questions and improvements for the current leave donation policy.  These will be presented to Barbara at the April HRAG meeting.

* Wellness Fair – March 25, 2009 – Several vendors will be on site.  Health screenings are by appointment only (Contact Carrie Mitchell-Moore).  $50 off health care premium for the completion of your HRA.  Employees who have had recent health screenings are encouraged to bring in lab test results and participate in the event as well.  Part-time employees who may not participate in the benefits program are encouraged to attend as well, and will be rewarded another small gift item instead of the premium discount.

The next HRAG meeting will be April 1, 2009 in Burton Morgan room 317.
