New Items

1.Emeriti Program - Jim gave an update on the Emeriti program.  All eligible faculty and staff receiving Denison contributions (full-time hired after June 30, 1993, and age 40 or over) should have already called Emeriti to enroll.  If you haven't called yet, you need to call 1-866-EMERITI.  You will need to choose your investment fund and name any dependents you might have.  You should elect option 1 and then follow the procedure to set up your PIN number. Once this is done you will be forwarded to a representative to complete your enrollment.  Please refer to your enrollment kit that was sent to you in June.  If you have any questions or problems, please stop by the Office o Human Resources for assistance.

As many of faculty and staff know, Denison will be making retroactive contributions back to the date employees would have been eligible for the program if we implemented the Emeriti program on July 1, 1993.  Faculty and staff eligible for the retroactive contributions will receive a letter soon letting them know the contribution that was made to their account.

2.SOS Policy Handbook - The Office of Human Resources will be updating the handbook this academic year.  There are a few policy changes that were changed and need to be updated.  Additionally, there are a few policies that will be changed as a result of the recent publication of the Administrative Staff Policy Handbook.  These changes will be reviewed with HRAG prior to publishing an updated handbook.

3.Comp Time/FLSA Issues - Jim Ables reported that, from time to time, issues arise about the correct reporting of hours worked for payment of wages.  Therefore, a memo will be sent to department chairs and managers to address the common pitfalls related to complying with the Fair Labors Standards Act (FLSA).  The common problems are: 1) we do not have comp time at the college and cannot have comp time according to the FLSA (an employee cannot elect not to get paid for hours worked and then take time off in another week);  and 2) not recording hours worked for the college.  Essentially, all hours worked need to be recorded on a time sheet for the actual day the hours were worked.  By doing this, we are sure to be complying with FLSA wage and hour laws.

4.Web Time Entry - The Office of Human Resources is planning to move support staff to the web time entry process, like we use now for all student employees.  We have not worked out any details yet and will first implement web time entry with a trial group prior to implementing it for all staff.  We don't have a time line for the implementation but would like to do so this academic year.  While most staff will eventually go to web time entry, some staff, particularly physical plant staff, may have to remain using the current paper time sheet process.

5.Co-chair Election - Lynn McIlyar volunteered to be the co-chair of HRAG.  She will fill in for Belinda if she cannot make a meeting and will become chair next academic year.

6.Paycheck Distribution - A question arose from the physical plant area regarding how paychecks are distributed.  Supervisors are responsible for coordinating distribution of paychecks, which may involve having others assist with distribution. The process is fine.  Any variance from this process in the past has been already been addressed by physical plant management.

7.Children in the Workplace - A concern from the physical plant about an employee bringing a child to the workplace.  This situation has been addressed by physical plant management. 

8.Dress Code - A concern from the physical plant regarding whether the dress code guidelines at the physical plant pertains to all staff.  The guidelines do apply to all staff, including supervisors, and compliance with the policy is the responsibility of physical plant management.  Any concerns by an employee should be brought to his/her supervisor or the Director, Physical Plant.

9.Hours Worked Memo - A concern was brought up about a memo that was sent to building services staff regarding hours worked and docking of time.  This issue has already been addressed by physical plant management.
