The following policies apply to all administrative officers of the University. This includes members of the faculty who perform non-teaching or administrative duties of either a continuous or occasional nature (such as serving as chair of a department or as members of College or departmental committees) which put them in possession of records pertaining to their official duties.
1. All correspondence, official printed material, record books, minutes, committee files, financial records, other material - in sum, any records generated by or received by the various administrative and academic offices of the University in the conduct of their administrative responsibilities - are the property of the University.
2. Such property is not to be destroyed or removed without the approval of the officer in charge of the office where the records accumulate, who will, in consultation with the University Archivist, determine the material to be retained.
