Recruitment Guidelines for Departments

Colleagues,


Here are some recruiting guidelines that we have followed in the past. Their goal,
obviously, is to help us control costs. Our recruitment budget for this year is $152,400, which
sounds like a lot of money, but truly it is not. So, please stay within these guidelines.

1. All plans to recruit at a professional meeting require prior approval by the Provost.
Normally, two faculty members’ attendance will be supported from recruitment funds. Efforts to
combine recruiting with your professional trip will be appreciated.

2. Normally, three persons may be brought for an on-campus interview. Consultation
with the Provost must precede any invitation to come for an interview and no candidate may be
invited without the approval of the Provost. Prior approval is also required by our affirmative
action procedure. Candidates are expected to meet with the Provost so departments should be
sure to coordinate candidates’ visits with the Provost’s Office.

3. College funds will cover the cost of dinner for three persons, the candidate (not
spouses) and, normally, for no more than two additional members of the faculty or professional
staff. Please attempt to keep the total cost down, even within this limitation. Our expectation is
that the total amount for dinner will not exceed $150 for three persons.

4. Persons should be housed at the Buxton Inn or the Granville Inn, if possible. Please
be in touch with Mary Lindsey about reservations for candidates.

5. Lunch for the candidate and up to three other faculty will be covered by the Provost’s
Office if taken at Slayter. The recruitment budget will also cover a candidate’s lunch and up to
five student lunches at Slayter.

6. Travel expenses (airfare at coach rate) and local expenses of the candidates will be
reimbursed. If it is less expensive to come by car, that should be done. If a person comes by car,
reimbursement will be at the rate of 58 cents per mile. Please inform the candidate of this
restriction.

7. Persons from the University who make trips to the airport will be reimbursed for up to
60 miles roundtrip.

8. The Provost's recruitment budget will cover the costs of advertisements. Please check
with us before you place advertisements and then send orders and/or bills to the Provost’s Office
for approval and payment.
