Eligibility
In order to be eligible to participate in the lottery process, you must have settled any outstanding account balances. You may want to verify that your account is up-to-date with the Cashier's Office, Doane 102.
All students who meet the above criterion will be issued a lottery number for the general lottery, except the following:
- Those who plan to participate in an off-campus study program for the fall semester;
- Those who have selected a room assignment in the Special Interest Housing Lotteries held prior to the general lottery;
- Those who have been selected and housed in Gilpatrick House or Homestead.
- Residential Life Staff members and roommates; and
- Those students who, in exceptional cases, have been granted a special housing assignment typically for a medical reason.
Degree-Expected Year
Lottery numbers are drawn by class and gender. There are three lottery number categories based upon a student's degree-expected term (expected date of graduation) as of January 1, of the calendar year of the lottery. Students are responsible for the accuracy of this information. Questions about degree-expected term should be directed to the Office of the Registrar. Degree expected term cannot be changed once the numbers have been printed and distributed.
Process
- Students register on-line through mydenison and Student Self Service.
- Students should print the "Registration Complete" screen at the end of the registration process and bring it to the lottery.
- Confidential lottery numbers are available on line through mydenison no less than 72 hours before the first night of lottery.
- At lottery, students arrive at their designated time in the location for their lottery (see brochure). Floor plans will be posted on the wall for students to see which rooms are available.
- Students are required to bring their student ID to the lottery.
- Lottery numbers are called and students select rooms in lottery number order. If the room desired is not available at the time of selection, another choice must be made.
Lottery Policies & Procedures
- Abuse of System: Students suspected of abusing the lottery system, harassing participants and/or staff or otherwise inhibiting a fair process will be subject to one or more of the following: 1) immediate removal from the lottery process; 2) disciplinary action; 3) loss of lottery number for the following year; and/or 4) administrative room change.
- Use of Lottery Number: The student whose number is used to secure a room, apartment or suite will not be permitted to move from the location during the first semester.
- Arrival: Students are expected to be on time for the lottery. No reassignment of rooms will be made because a student has missed his/her assigned time. Students who miss selecting a room at their designated time will choose rooms after everyone else in their graduating class.
- Room Selection: In order to obtain an apartment/room/suite, students must have the required number of people to completely fill the space. If one person is not present or eligible to participate, none of the group members will be permitted to sign up for that space.
- Students without a Roommate: Students without a roommate may select a double room within any building. However, the next individual of the same gender who also does not have a roommate requesting that building will be placed in the other half of that open double.
- Unauthorized Room Changes: Room assignments are in effect for the duration of the 2009-2010 academic year. No room changes will be completed without first filling out the appropriate paperwork in the Office of Campus and Residential Life. Students completing unauthorized room changes will be subject to one or more of the following: 1) disciplinary action; 2) loss of lottery number for the following year and/or 3) an administrative room change.
- Representing Another Student/Proxy: All students are required to be present in order to obtain a room. Students currently enrolled at Denison who cannot attend the lottery must designate a proxy no less than 24 hours prior to the lottery. This proxy is their representative. A person can be the proxy for more than one student.
- Wait list: All students must select an assignment the night of lottery. Students wanting to change rooms need to place themselves on the "preference wait list". Requests for change of assignments will be made after all students are housed. If space runs out the night of a lottery, students will be placed on a priority "to be housed list" and those students are guaranteed housing and will be housed before "preference wait list" students are considered. "To be housed" students are guaranteed an assignment, but will receive the assignment at a later date prior to the first day of fall classes.
Students, who in exceptional cases, need housing assignments due to a medical condition or disability must follow the procedures listed below:
- Refer to the Office of Academic Support and Enrichment Web page and follow the instruction. All documentation must be submitted to Jennifer Grube Vestal, Associate Dean/Director of Academic Support and Enrichment, no later than the specified date of March 16, 2009. (See lottery packet.)
- Reasonable accommodations are determined by the institution based on the documentation provided.
- All students requiring accommodations must seek instruction concerning their housing arrangement from Jennifer Grube Vestal prior to the lottery process.
- If the accommodation can be fulfilled through the regular lottery process, the student will be advised to go through the lottery (i.e. smoke-free housing, first floor access).
Please note: housing options may be limited for students who present a need for special housing. Additionally, most accommodations will be made utilizing double occupancy spaces. Accommodations are provided only for the student with the disability/medical need and do not carry over to roommates. A list of rooms that do not allow for air-conditioning units is available at the Housing Office and students should refer to this list while selecting rooms.
Consolidation:
The University reserves the right to reassign rooms or remove students from the residence halls when deemed necessary. Students with a vacant space in their room, apartment or suite will be required to "consolidate" the space by moving into another room or by having another student move into that vacant space. Open rooms can be created for use as the Office of Residential Life deems necessary.
Senior Housing in Apartments:
During times when the university has more seniors than available space in apartments, the following guides assignment decisions:
Satellite houses are for seniors only. Apartment space on campus is intended for senior-only housing. At the time of lottery processes, only rising seniors will be permitted to select a space in apartments in Lower Elm, Upper Elm, Wright, Hayes, Sunsets A-B-C-D, and Stone. Taylor House apartments are the exception due to the program requirements (GPA requirement of 3.25 for the student selecting the unit. All roommates must have a minimum 3.25 GPA at the time of selection with the exception of one roommate who must be in good standing), however those apartments will be first offered to rising seniors at the lottery. Whenever possible, The Office of Housing & Residential Life will offer student staff spaces in such senior-only buildings to seniors first and those staff members must pull in senior students as roommates.
At the time of Spring Lottery, rising seniors will not be allowed to pull up rising juniors into apartment spaces. Following the room freeze period at the start of each semester, rising juniors may submit room change authorization request forms to the Office of Housing & Residential Life for consideration. After the senior waitlist has been exhausted and if space is available and the student is in good standing, will the Office of Housing & Residential Life approve requests for non-seniors to reside in apartment spaces reserved first for the senior class. However, the Office of Housing & Residential Life reserves the right to accomodate housing needs at any time and may fill vacancies in such spaces as needed.
Sophomores and first-year students are not permitted to reside in apartment spaces.
Special Interest Housing Options (Quiet Buildings and Substance-Free Buildings):
All students are required to register in order to participate in the housing lottery process. At the time of registration, students will be able to express interest in participating in the unique housing lottery for substance-free housing and/or quiet housing.
There are two types of lotteries:
- Special Interest Housing Lottery (Substance-Free and Quiet Housing)
For 2009-2010 this includes: Curtis West (Quiet and Sub-free); Upper Elm (Sub-free); Huffman (Sub-free); Shaw (Quiet); Sunset A (Quiet); and Monomoy House (Sub-free 6 men) and Bancroft House (Sub-free 6 women) - General Lottery
Students must agree to the criteria listed for each of the special environments in order to reside in the specific type of residence hall or house. Failure to comply with the stipulated points of agreement will result in disciplinary action including removal from the housing environment.

Satellite Housing Information:
- Again, this year there will not be a separate lottery for satellite housing.
- Monomy and Bancroft will be offered in the Special Interest Lottery on April 7.
- Satellite housing consists of university-owned residences that follow all residence hall policies and procedures.
- Most satellite houses do not offer on-site laundry facilities.
- Students living in satellite housing will not have free access to on campus residential facilities.
- Students living in satellite locations do not have access to areas other than those indicated on the floor plans held in the Office of Campus and Residential Life. At no time will lounge areas, basements, garages or attics that are adjacent to apartments be opened for student use.
- All Satellite houses are smoke-free.
- Only rising seniors are permitted to participate in the satellite housing process.
- Students who have previously been suspended or placed on Disciplinary Probation are not permitted to live in satellite housing. If a student is unclear about their record, they can visit the Office of Campus & Residential Life.
- Students residing in Satellite Housing and in King and Stone need to be particularly mindful of the Granville Noise Ordinance which starts at 10pm. Students residing in these spaces are required to attend an orientation in September.

Additional Lottery Reminders
- Please no cell phones or computers-they slow down the process.
- Have several contingency plans in case you do not get your first choice in room selection.
- Students who did not register in time will not receive a lottery number. They can be pulled into a room by another students with their lottery number.
